The Questions Title Teams Ask

Choosing a signing service is a decision title companies, escrow officers, and real estate attorneys do not take lightly.

Before placing an order, most teams want clear answers to the same practical questions.

Where do you provide coverage? How much does it cost? How quickly can you schedule a signing? What happens if a notary does not show? How do you make sure the documents are completed correctly?

Below are the questions we hear most often, answered as directly as possible.

If your question is not included, ask us. We would rather answer it now than leave your team wondering later.

What Areas Do You Cover?

The Closing Signing Service provides coverage throughout all 50 states, Puerto Rico, and Canada.

Behind that coverage is a network of more than 55,000 certified, background-checked notary signing agents.

This network allows us to place qualified notaries in major metropolitan areas, rural counties, and hard-to-reach locations where finding reliable coverage can be more difficult.

When a signer is located far from a city or in an unusual area, we usually already have a qualified professional nearby.

How Much Does a Signing Service Cost?

We charge one flat fee agreed upon in advance.

There are no unexpected print fees, travel surcharges, remote-area charges, re-sign fees, or additional charges when a transaction does not close.

The amount you agree to is the amount you pay.

This pricing model is intentional. It gives title teams predictable costs, makes budgeting easier, and protects margins from surprise line items.

How Quickly Can You Schedule a Signing?

We accept same day and last minute orders.

Our team also handles appointments during nights, weekends, and holidays because real estate closings do not always happen during standard business hours.

Our scheduling team is available during extended hours.

Monday through Friday from 7:00 a.m. to 11:00 p.m. ET.

Weekends from 8:00 a.m. to 10:00 p.m. ET.

Our client portal is available 24 hours a day, 7 days a week, 365 days a year.

Can I Place an Order Through My Title Production Software?

Yes.

Orders can be placed directly through several major title production platforms, including Qualia, Resware, SoftPro, RamQuest, E-Closing, Closer's Choice, AccuTitle, Landtech, and SQL/Impact.

This allows your team to place orders without leaving the platform where the file is already being managed.

Orders can also be submitted through our client portal, by phone, or by email.

What Happens if a Notary Does Not Show Up?

Our scheduling team tracks every appointment in real time.

If a notary is delayed, becomes unavailable, or something changes unexpectedly, our team works to resolve the situation before it affects your closing.

Because our network includes more than 55,000 notary signing agents, we have the coverage needed to replace a notary quickly when necessary.

Your team should not have to make emergency calls or search for last-minute coverage. That responsibility belongs to us.

What Happens When Something Goes Wrong During a Signing?

Unexpected situations can happen during any closing.

A signer may be unavailable. Documents may need clarification. A notary may encounter an issue at the table. The appointment may need to be rescheduled.

When something goes wrong, our team communicates with the notary, monitors the appointment, and coordinates the next step.

We take responsibility for managing the issue so your team can remain focused on the file and the funding deadline.

How Do You Make Sure the Signing Is Completed Correctly?

Every file goes through two layers of quality control.

Pre-signing quality control happens before the notary attends the appointment. The package is reviewed for potential issues so problems can be identified while there is still time to address them.

Post-signing quality control happens after the signing. Every page of the scanbacks is reviewed and verified before the file reaches your team.

We look for missing signatures, initials, dates, notarizations, and other completion issues.

Our goal is to identify and correct errors before they affect funding.

What Types of Signings Do You Handle?

We support a wide range of signing and notarial services, including loan signings, purchase closings, refinances, seller packages, reverse mortgages, mobile notary appointments, hospital and care-facility notarizations, powers of attorney, trusts and estate documents, remote online notarizations, and signings involving domestic and international parties.

All services are managed by one team and held to one operational standard.

Your company does not need a different vendor for every type of assignment.

Do You Handle Remote Online Notarization?

Yes.

We provide remote online notarization for domestic signers and, when permitted, for signers located outside the United States.

Remote online notarization can be a practical solution when an in-person appointment is not possible, when a party is traveling, or when someone involved in the transaction is located abroad.

Our team helps determine whether the assignment can be completed remotely and coordinates the appropriate process.

When Is a Closing Considered Complete?

We do not consider a closing complete simply because the signer has finished signing.

The process continues until the completed package is delivered to the appropriate destination.

Our tracking coordinator monitors the physical package and confirms delivery.

The closing is not finished until your team has what it needs to move forward with funding.

Are Your Notaries Vetted?

Yes.

Every notary in our network is a certified, background checked notary signing agent.

Many have also received training directly through our organization and are familiar with our standards for communication, accuracy, professionalism, and document handling.

We do not simply provide a name and phone number.

We assign professionals who understand the importance of the closing and the expectations of the title team.

Can You Handle High-Volume Accounts?

Yes.

We support both individual orders and high volume closing schedules.

The same standards for communication, tracking, pricing, and quality control apply whether your company sends one closing a month or hundreds.

As volume increases, our team continues to monitor each appointment and each file individually.

The flat fee structure also remains consistent, helping your company maintain predictable costs.

How Is The Closing Signing Service Different From a Notary Database?

A notary database gives you access to contact information and leaves your team responsible for everything that happens next.

The Closing Signing Service is an operation, not a directory.

We manage the assignment from beginning to end.

That includes confirming the appointment, assigning and communicating with the notary, reviewing the documents, tracking the signing in real time, reviewing the completed scanbacks, resolving issues, and monitoring package delivery.

Your team receives one point of accountability from order to funding.

Why Does Quality Control Matter?

A completed package can still contain mistakes that delay funding.

A missing signature, initial, date, or notarization may require additional communication, a return visit, or a complete re sign.

Quality control reduces those risks.

By reviewing documents before and after the appointment, we help protect your team from errors that can create unnecessary delays and extra work.

How Do I Get Started?

Start by requesting a quote.

We will provide clear pricing so your team knows what each closing will cost.

Once your account is established, orders can be placed through your title production software, our client portal, by phone, or by email.

From the first order, one team manages the assignment from scheduling through delivery.

Still Have a Question?

If the question that matters most to your team is not included here, send it to us.
