What is The Closing Signing Service?

The Closing Signing Service (TCSS) is a nationwide signing service that coordinates notary public services for real estate closings, legal documents, and remote online notarizations. We work with title companies, real estate attorneys, lenders, escrow officers, and individuals across all 50 states.

How long has TCSS been in business?

TCSS was established in 2020. We have completed more than 50,000 closings for over 2,000 customers, including title companies, attorneys, lenders, realtors, and individuals across the country.

In which states do you operate?

All 50 U.S. states, including Hawaii and Alaska. Our network includes more than 55,000 certified notaries available for in-person signings, plus a dedicated team of online notaries for RON transactions. We also coordinate closings in Puerto Rico and Canada when our clients need them.

What makes TCSS different from other signing services?

Two things. Operational oversight, we don't just dispatch a notary, we manage the transaction from order to funded closing. And flat-fee pricing, no surprise charges, no upcharges for print fees, travel, or last-minute requests.

Are you insured?

Yes. The Closing Signing Service carries $3 million in Errors & Omissions (E&O) insurance. Every notary in our network also carries their own E&O insurance, with minimums verified during the onboarding process.

How is client information protected?

We treat client data the way you would: with restricted access, individual accountability, and zero exposure beyond the transaction. Specifically:

  • Individual access. Every client receives their own credentials. No shared logins. Each client account is fully isolated.
  • Notary visibility. Each contracted notary sees only the assignment they are working on. Never the rest of your file. Never another client's transaction.
  • Encrypted platform. Orders, original documents, and scanbacks are stored on an encrypted platform with restricted access. Nothing lives on personal devices.
  • Confidentiality across the board. Every internal team member operates under a confidentiality agreement. Every contracted notary is background-checked.

Your client data stays where it belongs, with the people executing the transaction, and nowhere else.

What hours are you available?

Orders can be placed 24/7/365 directly from your title production software (Qualia, Resware, SoftPro, RamQuest, E-Closing, Closer's Choice, AccuTitle, Landtech, SQL/Impact) or through our client portal. Our scheduling team handles email and phone requests Monday to Friday from 7 AM to 11 PM EST, and Saturday to Sunday from 8 AM to 10 PM EST. Same-day, after-hours, weekends, and holidays included for active orders.

Where is your office located?

Our headquarters is in Pembroke Pines, Florida, with a remote team of twelve professionals coordinating operations across the country. Most of our work is digital and nationwide.

What services does TCSS offer?

Four main services. Loan Signings for purchases, refinances, HELOCs, sellers, cash deals, and reverse mortgages. Mobile Notary for legal documents, affidavits, POAs, and any document requiring notarization outside a loan signing. Remote Online Notarization (RON) for signers who can't or don't want to meet in person. Legal & Estate Planning Documents including wills, trusts, healthcare directives, and family law affidavits.

How do I place an order?

Four options. Directly from inside your title production software (Qualia, Resware, SoftPro, RamQuest, E-Closing, Closer's Choice, AccuTitle, Landtech, SQL/Impact). Can I order through my title production software?

Yes. We integrate directly with the leading title software platforms in the industry, including Qualia, Resware, SoftPro, RamQuest, E-Closing, Closer's Choice, AccuTitle, Landtech, and SQL/Impact. You can place orders, receive scan-backs, and track status from within your existing workflow, with no manual data entry on your side.

What information do I need to provide for an in-person notarization?

To place an order for an in-person notarization, we ask for the following details:

  • File number
  • Signing type: Buyer, Seller, Refinance, or Other
  • Signer name(s) and phone number(s)
  • Property address
  • Signing location (where the notary will meet the signer)
  • Requested date and time
  • Special instructions (witnesses, scanbacks, ID requirements, language needs, etc.)

Once we receive this information, our scheduling team confirms availability, assigns a certified notary, and sends a confirmation. Documents can be uploaded at the time of order or any time before the signing.

How do I provide the documents?

It depends on how you place the order.

If you order through your title production software (Qualia, Resware, SoftPro, RamQuest, E-Closing, Closer's Choice, AccuTitle, Landtech, SQL/Impact), you upload the documents directly within your platform.

If you order through any other channel, documents are uploaded through our secure client portal at tcss.signingorder.com. The portal is available 24/7 and keeps every file organized within the order, with restricted access and full audit trail.

Either way, documents must be in PDF format and can be uploaded any time before the scheduled appointment.

How fast can you schedule a signing?

Same-day signings are available. We routinely handle last-minute appointments, plus after-hours, weekends, and holidays.

Do I need to have the documents ready when placing the order?

No. You can place the order before the documents are ready. Send the order with the signer's information, location, and timeline, and we'll start coordinating the notary while the documents are being prepared. Documents can be uploaded later through the portal.

Do you work weekends and holidays?

Yes. Same-day, after-hours, weekends, and holidays are part of our standard service. The lender or title company sets the timeline. We meet it.

Do you handle complex closings?

Yes. Split signings across different states, multi-transaction closings with multiple sellers or properties, and transactions involving Power of Attorney or trust verbiage are part of what we do regularly. We instruct our notaries on the specific execution requirements before they leave for the appointment.

Do you do document review before the signing?

When the document arrives in our system before the appointment, our pre-quality control team reviews it for execution issues like missing notarial certificates, incorrect acknowledgment wording, and inconsistent witness lines. After the signing, our post-quality control team reviews every scanback before it reaches the client's inbox.

What happens if the signer can't sign at the scheduled time?

If the signer cancels or reschedules, we coordinate with the title company or attorney to find a new time. There is no additional charge to you. We cover the costs internally.

What happens if the notary cancels or doesn't show up?

The searching falls on us, not on you. We immediately dispatch a backup notary from our network, often within the hour. The signer waits, the appointment happens, and you don't spend your day on the phone trying to find a replacement.

Do you provide multilingual notaries?

Yes. Spanish is the most common second language we cover, and our network also includes notaries who speak French, Portuguese, Mandarin, and other languages depending on the area.

Can you handle re-signs if a document needs to be corrected?

Yes. Re-signs are handled at no additional charge to you. When a document needs to be corrected and re-signed, we coordinate the appointment quickly without billing extra.

Do you charge for scanbacks?

No. Scanbacks are included in our flat-fee. No additional charges for scanbacks, ever.

Do you handle apostille services?

Apostille services are not part of our standard offering. If you have a specific need, contact us and we'll evaluate the request.

Witnesses, Delivery & Add-Ons

Can your notaries provide witnesses?

Yes. When a document requires additional witnesses beyond the notary, we provide them. Witness service is $25 per witness.

Do you provide hand delivery services?

Yes. Hand delivery is available on a case-by-case basis. Pricing depends on the distance from the notary to the delivery location.

Do you track the package after the signing?

Yes. Our tracking coordinator follows the physical package from the moment the notary leaves the signing until the documents arrive where they need to land. Real tracking numbers, real follow-up, real accountability.

Pricing & Billing

How much do your services cost?

Our pricing reflects the level of service we deliver. Flat-fee, transparent, and aligned with the premium standard we set at every step. We don't publish rates because every transaction is different, but we can tell you this: our quotes are competitive for the market, and the invoice you receive matches the quote we gave. Always.

What does your flat-fee include?

Document printing, travel to the signer's location anywhere in the country, the signing itself, scanbacks uploaded to our portal, and physical package tracking. No upcharges for print fees, no travel surcharges, no "did not close" fees, no rush fees.

Do you charge extra for last-minute or after-hours signings?

No. Same-day, after-hours, weekends, and holidays are part of the same flat-fee. The lender or title company sets the timeline. We meet it.

What payment methods do you accept?

We accept checks, e-checks, credit cards, and Zelle. Payment options are flexible to accommodate every client's preferred workflow.

What payment terms do you offer?

Recurring clients have net 7 day terms. Individual clients pay upfront before the signing is scheduled.

What if the signing doesn't close?

No charge for "did not close" signings. The lender or title company doesn't pay for transactions that don't fund. That risk belongs to us, not to you. And the notary still gets paid for the work performed, which means our notaries don't hesitate to take on transactions that other signing services consider risky.

Remote Online Notarization

What is Remote Online Notarization (RON)?

RON is a notarization done online through a secure platform, not a video call like Zoom or FaceTime. The signer and the notary connect through a system specifically designed and authorized to perform legal notarizations, with identity verification, document tampering protection, and tamper-evident digital signatures built in. Same legal weight as a traditional notarization. Different mechanics.

What information do I need to provide for a Remote Online Notarization?

To place an order for a Remote Online Notarization (RON), we ask for the following details:

  • File number
  • Signing type: Buyer, Seller, Refinance, or Other
  • Signer name(s), phone number(s), and email address(es)
  • Property address
  • Requested date and time
  • Notary preference: please let us know whether the signers are U.S. citizens or not, so we can determine the right type of notary to assign
  • Language requirement: is a Spanish-speaking notary needed?
  • Preferred RON platform (e.g., BlueNotary, NotaryCam, Proof, Pactima), if you have one
  • Special instructions

Once we receive this information, our scheduling team confirms availability, assigns a certified notary, and coordinates the platform setup with the signer.

Is RON legally valid?

Yes. RON is recognized under federal law (the e-SIGN Act) and accepted in most U.S. states. Our notaries hold valid online commissions in Florida and Virginia, which cover the majority of RON transactions in the country.

Who can sign via RON?

U.S. citizens and residents can sign with our Florida-commissioned online notaries, regardless of where they are physically located in the world.

Foreign signers can sign with our Virginia-commissioned online notaries, regardless of where they are physically located in the world. The required ID for foreign signers is a valid passport, since most RON platforms cannot verify foreign national ID cards or driver's licenses.

Can you handle RON signings for foreign signers?

Yes. Foreign signers can complete RON sessions with our Virginia-commissioned online notaries. The required ID is a valid passport, issued by any country, since most RON platforms cannot verify foreign national ID cards or driver's licenses.

Our team confirms platform compatibility, ID requirements, and any additional documentation before scheduling, so there are no surprises during the session.

What does the signer need for a RON appointment?

Four things. A device with camera and microphone (laptop, tablet, or smartphone). A strong internet connection. A valid government-issued ID (U.S. driver's license, U.S. passport, or foreign passport). And a personal email address.

What if the signer is not tech-savvy?

We recommend having a tech-comfortable family member or friend assist them during the session. A second pair of hands on a laptop or phone often makes the difference between a smooth signing and a rescheduled one. We make this recommendation upfront so there are no surprises during the session.

Which RON platforms do you work with?

The four most commonly required platforms in the industry: BlueNotary, NotaryCam, Proof, and Pactima. All four fall under MISMO compliance, the Mortgage Industry Standards Maintenance Organization standard for digital mortgage transactions. In most cases, our clients tell us which platform to use, and we adapt.

What happens if the signer can't pass identity verification?

We don't stop. We adjust. Sometimes the right answer is rescheduling for a quieter time. Sometimes it's switching to a different platform, since each one uses slightly different verification methods. Sometimes it's pivoting to in-person mobile notarization. We tell you immediately and coordinate the transition.

Why is RON considered secure?

The platform records the entire session, encrypts every signature, and creates a tamper-evident audit trail. The result is more secure, not less, than a traditional in-person notarization.

What if my signer doesn't have a valid ID?

A valid government-issued ID is required for any notarization, in-person or RON. Accepted IDs include U.S. driver's license, U.S. passport, and foreign passport. If the signer doesn't have any of these, we can sometimes proceed with two credible witnesses who can swear to the signer's identity, depending on the document type and the state's requirements. Contact us with the situation and we'll evaluate the case.

Client Portal

If multiple people in the same office work with TCSS, do they share login credentials?

No. Every team member should have their own credentials to access our client portal. Shared logins reduce visibility and accountability. Each user with their own credentials means clearer order tracking, better communication, and proper audit trails.

How do I apply to join your notary network?

Apply at notaryresume.com/signup. Our recruitment team reviews applications based on commission status, background check results, experience, and coverage area.

Do I need to be background-checked to work with TCSS?

Yes. Every notary in our network has been background-checked, identity-verified, and confirmed for active commission status.

How do notaries get paid?

Notaries are paid on the 5th business day of the following month for all closings performed during the previous month, via Melio. Pay rates depend on the type of signing, the location, and the complexity of the transaction. We pay above the market rate for the value our notaries deliver.

Do you offer training for notaries?
