You can place an order in the way that fits your workflow. Use our client portal 24/7/365, drop files in at any hour. Or reach our scheduling team by phone and email during extended business hours: Monday to Friday, 7 AM to 11 PM EST. Saturday and Sunday, 8 AM to 10 PM EST.
What we ask for depends on the type of signing.
Mobile signings
For in-person closings, we ask for:
- File number
- Signing type (buyer, seller, refinance, estate planning, other)
- Signer name and phone number
- Property address
- Signing location
- Requested date and time
- Special instructions: witnesses, scanbacks, ID requirements, language needs
Remote Online Notarization
For RON closings, we also ask for:
- File number
- Signing type (buyer, seller, refinance, estate planning, other)
- Signer name, phone number, and email
- Property address
- Requested date and time
- Whether the signers are U.S. citizens or residents (this determines notary and platform eligibility)
- RON platform requested by the underwriter (NotaryCam, BlueNotary, Proof, Pactima, others)
- Special instructions: witnesses, scanbacks, ID requirements, language needs
We schedule the notary. They confirm with the signer.
When the order lands, the signer's availability is already on the file. Our job is to find the right notary who can meet that window. We review our network by location, experience, credentials, reviews, and history with similar transactions. The goal is not to fill the slot. The goal is to match the signing to the agent best equipped for it.
Once assigned, the notary reaches out to the signer directly to confirm the final details and introduce themselves. That second touchpoint matters. It gives the signer a human contact before the appointment, and it gives us confirmation that the handoff landed cleanly. From that moment, both our team and the notary have the same file, the same expectations, and the same timeline.
The signing happens. We stay connected.
The notary meets the signer at the agreed location, at the agreed time, with the printed package in hand. They walk the signer through each document, collect signatures and initials in the right places, and execute the required notarial certificates according to state law.
While the signing is happening, our scheduling team tracks the appointment in real time. If anything goes sideways, a delay, a question from the notary, an unexpected issue at the signing, we know about it before you do. And we handle it.

The moment the signing ends, the notary uploads the scanbacks to our system. Our post-quality control team reviews every page. Every signature where it needs to be. Every initial where it needs to be. Every notarial certificate completed correctly with the proper language, date, and seal.

The package lands where it needs to land.
Our tracking coordinator follows the physical package from the notary's hands to its destination. Overnight shipping, same-day courier, drop-off at the title office, whatever the transaction requires. We verify the delivery method, monitor the tracking numbers, and confirm arrival.
The closing isn't done when the signer signs. It isn't done when the scanbacks upload. It's done when the package is in your hands and you have everything you need to fund.
